When is the annual convention and where is it being held?

AudiologyNOW! 2012 will be held March 28-31, 2012 at the Boston Convention and Exhibiton Center (BCEC) in Boston, MA.

When should I plan to arrive?

The first day of AudiologyNOW! is Wednesday, March 28, 2012. Sign-up for a learning lab or take advantage of the afternoon educational sessions that are open to all attendees. That evening,join the kickoff party, Celebrate Audiology!

 

How long should I stay?

We encourage everyone to stay through the last event on Saturday to take advantage of all the educauational sessions and the fun. Saturday afternoon features the popular and excitingAudiology Trivia Bowl.

 

I have never been to this convention before. What should I know before I go?

We have put together a few tips for first-time attendees.

I have never been to Boston. What type of information can you give me about getting to the convention, and getting around the city?

Can I bring my spouse or a guest?

Yes. You can bring a spouse or a guest, but not both, however they will not be allowed into any educational sessions. The guest registration fee is $85. This includes access to the exhibit hall, lunch coupons, and all free receptions.

Can I bring my child(ren)?

Children older than 6 months and younger than 16 are not permitted in Audiology Solutions or at any AudiologyNOW! educational session. Children 16 and older are permitted in Audiology Solutions but must pick-up a badge at Registration (no-charge) before entering the hall. Children younger than 6 months are permitted in Audiology Solutions as long as they are hand carried. Strollers will not be permitted. Children under the age of 16 will not be allowed in the exhibit hall under any circumstances during exhibitor setup and teardown.

How can I contact other attendees during the meeting and how can my family or office contact me?

Is there an onsite business center?

When is Audiology Solutions, the Exhibit Hall, open?

 

Thursday, March 29

Is lunch included?

Included in full convention registration fees, all attendees will receive lunch coupons valued at $10 per day. These coupons can be used towards purchases at food service stations on the show floor, the food court, or specialty food stands throughout the Boston Convention and Exhibition Center (BCEC). The food court and service stations will also be open for a la carte purchases.

 

How do I participate as a speaker or presenter at the convention?

By submitting a proposal. Visit the Call for Presentations

Can I just visit the exhibits?

Yes. Register as Expo Only and you will be permitted into the exhibit hall for all three days with this pass.

Where can I find locations of the session rooms?

Session room locations will be added to the online session planner in January. Locations will also be printed in the ProgramNOW! book given out onsite with your conference materials.

 

Where do I pick up my badge?

If you registered before March 16 your badge packet will be mailed to you (Note: we do not mail internationally). You can pick up your conference materials either at Reg Express locations at the Renaissance, Marriott Copley Place, or at the Boston Convention and Exhibition Center (BCEC). If you do not receive your badge in the mail please go directly to the main registration counters at the BCEC.

 

Can I display literature about my company at your convention?

The short answer is no. We have sponsoring companies that pay to do what you are asking to do for free. You can become an exhibitor by contacting Shannon Kelley. Any literature displayed without permission will be collected and disposed of immediately.

I would like to volunteer to be on the 2012 Program Committee, whom should I contact?

The committee assignments have already been set for 2012 but if you are interested in volunteering on the 2013 Program Committee please contact Lisa Yonkers and she can forward your name to the 2013 Program Chair.

I am presenting; do I need to register as well?

Yes. Everyone needs to register in order to get a badge. A lot of your presentation questions can be answered on the
Presenters FAQs page.

I’ve got an idea for a keynote speaker. Who should I contact?

There was no place to register for sessions on the website. How do I choose my sessions?

All sessions are first come, first served. If the session room is full when you arrive, you will not be allowed to enter. Plan to arrive at popular sessions early so you won’t miss out. Sessions are assigned rooms based upon data from the online session planner. We try to anticipate the popular sessions and assign them to the largest meeting rooms. The only sessions that require a ticket are the Learning Labs, Academy Research Conference, and the Global Perspective on CAPD Conference.

  • Access the searchable session planner for all educational and special events: Online Session Planner
  • Access the show floor online using our Virtual Show Floor on your computer or in the palm of your hand using our mobile device platform: Simply enter this link into your mobile browser – http://m.marketart.com/aaa12 and save to your favorites.

Where can I get a copy of the session handouts?

This year handouts for all the sessions at AudiologyNOW! will be available electronically.  You will not be receiving print versions of these handouts (exception: Wednesday Learning Lab or ARC participants).  However, there will be many ways for you to access the handouts.

  • An e-mail will be sent to those of you registered (prior March 16th), with a link that will allow you to download handouts to your mobile devices (smart phones, tablets, laptops).  and/or print the handouts (those that are available) before you arrive in Boston.
  • Using the free WiFi service on-site at the Boston Convention Center (BCEC) you will also be able to download handouts to your mobile devices on-site (smart phones, tablets, laptops).
  • There will be Print Stations on-site at AudiologyNOW! where you can print the handouts (those that are available).  It is not recommended that you try and print all of the handouts while at conference as there will be a limited number of stations and the lines could be long.
  • Handouts along with synced audio sessions (additional fee) will also be available to you online after you arrive home

Are you expecting anyone from the media to cover this year’s Convention?

I didn’t get my PreviewNOW! in the mail.  What happened?

The Academy does not mail a Preview version of the program book. Attendees may view this information online using the session planner and resources located on this web site. The "ProgramNOW" book will be distributed on-site to all registered attendees in their convention bags. Also the online session planner contains all of the session and event information you need and you can search for what you are looking for by keyword, day, time or presenter. New for 2012: the ProgramNOW book will also be available for download to e-reader devices, such as kindles, iPads, etc.

 

Will sessions be recorded? How can I get a copy of a speaker’s presentation?

Order your Session Proceedings early and save money! There are two packages available.

  • Standard Audio Package includes: Audio files of all conference sessions provided as mp3 files, PDF files of all session handouts/presentations as available – Price $99.00
  • Premium Synchronized CEU Package  includes: Audio files of all conference sessions provided as mp3 files, PDF files of all session handouts/presentations as available plus synchronized audio/slide presentation sessions for all available sessions provided as (flash movie files and mp4 files). Attendees who purchase the premium package will also be able to earn at least 10 hours (1.0 CEUs), including 3 ABA Tier 1 hours with this package – price $159.00

Handouts will be available for free online during and after the conference.
