Open Houses & Related Organizations

The Academy is excited to again provide meeting rooms for Open House events and Related Organization (RO) meetings during AudiologyNOW! 2014 in Orlando, Florida.

Open Houses will be held on Wednesday, March 26, 2014 at the Orange County Convention Center from 4:30 – 6:30pm.

Please read through the below, as we have some new information for Open House and RO participants for AudiologyNOW! 2014.

Open Houses

Open houses are specifically for colleges, universities, and learning institutions to gather alumni, faculty, and/or current students for a reception-style congregation.

Related Organization (RO) Meetings

Related organization (RO) meetings are specifically for healthcare related organizations to hold meetings in conjunction with AudiologyNOW!. These meetings are not to be held for corporate promotion or product sales and distribution. RO meetings must submit meeting specifics and descriptions prior to approval. The Academy reserves the right, at our sole discretion, to decline RO applications for any reason.

Cost

Though the Academy does not charge a fee for the meeting space, there is a $100 application fee due from RO meeting participants upon application approval. There is no application fee for Open House events. Both Open House and RO participants will be charged for all food, beverages, audiovisual equipment, and all other costs associated with hosting an Open House or RO meeting. Charges will be billed directly from the facility to your organization.

Advertising

Event advertising around the convention center and/or hotels is not permitted under any circumstance. There will be a designated area specifically for Open House event advertising only. All event material found outside of its designated advertisement area, as well as any advertising not pertaining to Academy approved Open House events, will be reported and discarded.

Signage

The Academy will provide a complimentary event sign displaying event information (provided by the Open House or RO host). Event signage will be placed at the entrance of the assigned location, prior to the event start time. Signage will be uniform in look and is not customizable by the Open House or RO participants.

Process

  1. Submit the application information below via email. All information must be complete prior to approval of the Open House or RO event request.
  2. Once your event is approved, a confirmation will be sent via email that will include details such as contact information for the facility caterer.
  3. Begin planning your event/meeting!

Application

A completed application is required prior to room assignment and confirmation. If changes occur to any of the below information at any point in time, please contact us as soon as possible in order to adjust online and on-site materials appropriately.
